Whistleblowing Policy at Packhelp S.A.
Packhelp S.A. has implemented an internal procedure for reporting legal violations (whistleblowing) in accordance with the Act of 14 June 2024 on the Protection of Whistleblowers. This policy provides a safe, confidential, and effective channel for reporting irregularities while ensuring protection for individuals making such reports.
Who can submit a report?
Reports can be submitted by individuals who have obtained information about a legal violation in their professional relationship with Packhelp S.A., including employees, contractors, job candidates, former employees, suppliers, subcontractors, volunteers, trainees, and interns.
What types of violations can be reported?
Reports may concern, among others:
- corruption,
- public procurement,
- environmental protection, data privacy, consumer protection,
- product, food, and transport safety,
- money laundering and terrorism financing prevention,
- violations of human rights,
- breaches of Packhelp’s internal regulations or ethical standards.
Important: This policy does not apply to reports concerning mobbing, discrimination, or workplace conflict – such matters are addressed under a separate procedure.
How to submit a report:
Reports can be submitted:
- By email: [email protected]
- By mail: Send a written report to Packhelp S.A.’s registered address (Kolejowa 5/7, 01-217 Warsaw, Poland) with the envelope marked “Whistleblowing”.
Note: Anonymous reports are not reviewed by Packhelp S.A.
How reports are processed:
- The Whistleblowing Committee, appointed by the Management Board, confirms receipt of the report within 7 days,
- The internal investigation is completed within 3 months,
- The whistleblower may be contacted for additional information and will receive feedback after the case is reviewed.
Whistleblower protection:
A whistleblower who acts in good faith and has reasonable grounds to believe that the reported information is true is protected against any retaliation, such as dismissal, demotion, denial of employment, exclusion from promotion, or intimidation.
Protection also extends to individuals assisting the whistleblower or otherwise connected with them.
This protection does not apply if the report was made in bad faith, with knowledge that the information was false.
Confidentiality and personal data:
The whistleblower identity is strictly protected and only accessible to authorized persons. Personal data is processed by Packhelp’s data protection policy.
External reporting:
A report can also be submitted directly to the Ombudsman or another relevant public authority, regardless of whether an internal report has been made.
Effective date:
This whistleblowing policy is effective at Packhelp S.A. as of 25 September 2024.
